About the role

Ensure the smooth running of our Tralee office and assist remotely with our WeWork London space. Provide high level admin support to the Senior Management team and act as Human Resources point of contact for our team of 40.

This is a part-time role working Wed, Thurs amp; Fri from our Tralee office (9am to 5:30pm).


Key responsibilities and accountabilities

Office Management

  • Act as first point of contact at Tralee office
  • In-house management of Tralee office and remote assistance with WeWork London
  • Manage relationship with building managers
  • Ensure the smooth running of both offices
  • Appointed Health amp; Safety and Fire Safety Officer


Human Resources

  • Act as HR point of contact for the company
  • Ensure compliance of HR and Office Security policies and procedures
  • Assist hiring managers with recruitment
  • Draft up job offer letters and employment contracts
  • Manage New Starter onboarding and Leaver off boarding
  • Issue staff training in line with company policies
  • Assist the internal comms team with updating HR documents on Intranet
  • Assist with probations, annual reviews, disciplinary actions and grievances
  • Respond to requests for references
  • Maintain the HR Inbox ensuring queries are responded to in a timely manner


Team PA

  • Assist with event planning (team socials, Christmas party, annual group events)
  • Book travel requirements for senior management team as required
  • Assist senior management team with submitting expenses through Expensify
  • Other ad-hoc admin tasks such as answering calls to the office, ordering small office purchases, arranging couriers, dealing with post, ordering business cards, etc.


Compliance

  • Assist during ISO27001 audits for HR and Office Security controls

Requirements

  • Must have at least 2 years prior experience as an Office Manager
  • Ideally have previous experience in Human Resources
  • Knowledge of Expensify a bonus
  • Ability to learn on the job and adapt to changes
  • Proficient in Microsoft Office 365
  • Excellent written and verbal communication
