Job Description

This is a 9-month FTC maternity cover role, part-time (20 hours per week), Mon Thu, 9am 2pm.

The Role

We are looking for an energetic and enthusiastic receptionist who is committed to their work and who is comfortable working in a fast paced and highly flexible environment. You will be a member of the People Team and whilst your main responsibilities will be on your Receptionist duties, you will also partner on our Employee Engagement and Wellbeing strategy and initiatives, so bring your energy and your ideas! Your key responsibilities will include:

Responsibilities of this role:

  • Provide front of house and reception services for Cubic Telecom.
  • Welcome and announce visitor arrivals. Meet and greet all visitors including key corporate clients
  • Management of visitor access cards and signing in.
  • First point of contact for all telephone queries, operate switchboard and deal with telephone enquiries (internal amp; external). Distribute calls or take messages where appropriate.
  • Check e-mails each morning and react accordingly.
  • Sort post ensuring a coordinated approach to incoming and outgoing post management. Handle couriers and post deliveries and collections.
  • Book and manage meeting rooms as required.
  • Preparation and servicing of meeting rooms, ordering and collecting of refreshments for meeting room bookings.
  • General admin activities including but not limited to copying, printing, stationery management, post, filing and general office supplies
  • Maintain accurate and efficient management information systems.
  • Liaise with office supply vendors and order management of general office supplies
  • Support the Office Manager with travel arrangements when required
  • Support People Team with Excel reporting and PowerPoint presentations as required and assist on occasion with other duties (such as Learning amp; Development admin support, Employee Engagement and Wellbeing admin and initiatives) as required by the People Team

Requirements

Essential Experience and Qualifications

  • Administration, customer service or similar experience
  • High degree of computer literacy including MS Outlook, Word, Excel and Powerpoint.
  • Excellent inter-personal skills.
  • Ability to organise workload.
  • Commitment to provide a high quality and professional service.
  • Ability to work unsupervised and take responsibility for the completion of tasks.
  • Ability to prioritise work tasks.
  • Adaptable and flexible in approach to work.
  • Effective problem-solving skills.
  • Ability to remain calm under pressure.
