Position: Human Resources Administrator
Location: Currently Remote Working | Office Base: Rentokil Initial, Hazel House, Millennium Park, Naas, Co.Kildare
Reporting to: Human Resource Advisor
Salary: 30,000 per annum.
Job Purpose
An exciting and challenging opportunity has arisen for the position of HR Administrator based in Naas, County Kildare, Ireland. This position will have responsibility to provide a first class HR generalist service to the key business stakeholders, circa 400 colleagues within the 26 counties.
The primary focus of the role is to administer the full colleague’s lifecycle with rentokil Initial, This includes colleague on-boarding/off-boarding, induction, checking in with new starters, payroll processing and supporting colleague relations.
Supporting Branch Managers to ensure a smooth onboarding and offboarding for our colleagues in line with company policies and procedures to ensure best practice is followed.
This role will be the first point of contact for colleagues across the region providing advice and guidance to the business.
Key Responsibilities and Accountabilities
New Starts, Leavers, Contractual Amendments etc
- Create and send the new start pack to all colleagues which includes offer letter, contract of employment etc.
- Ensure all new starters have a smooth transition with all onboarding using a check in platform
- Ensure all new colleague onboarding documentation is received and recorded in the HRIS system and personnel file
- HR information within the database is kept updated, accurate and complies with legislation
- Processing of colleagues leaving is completed in a timely and accurate way
- Produce and send out all relevant letters to reflect contractual changes including maternity and paternity letters etc
Absence Management
- Collation and submission of monthly sickness absence reports for payroll to ensure correct payments are processed.
- Sickness tracking: receiving and uploading of documentation including self certificates etc
- Sending documentation to company doctor or health management, booking appointments - ensuring the appropriate letters are sent to colleagues. producing letters to colleagues
Reporting amp; Administration
- Managing HR mailbox, responding in a timely manner to all HR queries requests
- Completing exit interviews Identifying any issues or concerns and completing a 6 month analysis
- Follow overpayment process as per overpayment procedure from finance
- Support in the management of the colleague satisfaction survey
- Support with the pay review and bonus process
- Ensuring filing is up-to-date to meet with all audit requirements
- Responding to reference requests when required
- Ad hoc project work
- Any additional duties as required
Payroll
- Processing new starts, leavers and absence deductions
- Checking both the trial payroll and final payroll reports on a monthly basis for accuracy
- Action all leavers and ensure they are removed from all company systems
Recruitment
- Liaising with the Recruitment Coordinator and assisting in the recruitment process
Requirements
- Must have experience within HR Administration or be a Graduate with an HR Understanding and/or Studying towards CPP or CIPD - working towards an HR qualification
- Good engaging and interaction skills coupled with an ability to get on and get things done
- Excellent communication and influencing skills coupled with a forward thinking approach
- PC Literate (use of email and Google/Microsoft packages)
