Summary/Objective 

The Business Operations Administrative Coordinator is a hands-on role which assists with a wide variety of operational functions, including the smooth running of our Kilkenny office. The coordinator will help to support a cohesive team atmosphere through a deep understanding of Security Risk Advisors’ mission, vision, and services.

Essential Functions

  • Serve as a liaison to team members, vendors, and building and security staff on issues related to Kilkenny office management.
  • Coordinate office visits involving vendors, clients, and other guests.
  • Coordinate catering and event planning for internal events and special projects as needed.
  • Receive mail; scan, file and distribute documents.
  • Purchase, unpack, organize, and restock office supplies, including snacks and beverages. Keep track of supply inventory and stay within budget.
  • Ensure that office kitchen and workspaces are tidy and properly maintained, and that furniture and equipment are in good condition.
  • Manage executive scheduling including scheduling meetings, appointments, speaking engagements, and client visits.
  • Prepare and organize itineraries for international travel.
  • Participate in Business Operations workgroups.
  • Support ongoing training and professional development.
  • Routinely perform a wide variety of support duties.

Work Environment 

This job operates in a professional office environment. This role routinely uses standard office equipment. 

Physical Demands 

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear; use hands to finger, handle, or feel; and reach with hands and arms. The employee frequently is required to stand, walk, and lift up to 15 kilograms. This is a largely sedentary role.

Position Type/Expected Hours of Work

This is a full-time position and hours of work and days are Monday through Friday 8:30am to 5pm. Occasional evening and weekend work may be required as job duties demand. 

Travel 

Approximately 5% travel expected, including overnight travel to SRA offices in the United States.

Requirements

Preferred Qualifications and Experience 

  • University degree a plus but not required.
  • At least one year of experience as an executive assistant or in a related role.
  • Able to lift office products and supplies, up to 15 kilograms.
  • Comfortable learning modern technologies.
  • Effective written and oral communication skills.
  • Attention to detail.
  • Advanced skills in Word, PowerPoint, and intermediate knowledge of Excel.
  • Strong organizational skills and ability to juggle multiple tasks.
  • Strong interpersonal skills.
  • Ability to remain calm under pressure.
  • Flexibility with shifting deadlines, schedules, and appointments.
  • Discretion with all company and personal information.
